1.2. Who receives the HelpSpot license file email (and how do I update who receives it)?
Updated: 12 Oct 2026, 01:13 PM EDT
Applies to: self-hosted HelpSpot · store account members and license delivery
When you renew your subscription or change the number of agent licenses, UserScape emails an updated license file. HelpSpot Cloud accounts are updated automatically and do not need the file.
Who gets the email
The license file is sent to every member of your HelpSpot store organization who has the product email preference turned on. It is not tied to a single owner or billing contact, and it is separate from where invoices are sent.
To change who receives it
- Log in at store.helpspot.com.
- Click the organization name drop-down in the top bar and choose Organization Settings.
- Scroll down to the Members section.
- Under Email Preferences, check or uncheck the options for each member. Members with the product email option checked receive the license file.
If the person isn't listed yet, add them first. See Adding A User To Your Organization.
Getting the file without waiting for an email
Any member of your store organization can log in at store.helpspot.com and download the current license file at any time.
Applying it
Upload the file in your HelpSpot install under Admin, as described in Installing A New License File.
